Group leader and group coordinator

The group coordinator is responsible for the administrative aspects of running the groups while the group leader is responsible for the scientific aspects of running the groups (see specific responsibilities below). The group leader and group coordinator may be the same person. Neither the group leader nor the group coordinator may be first year students.

Group coordinator tasks

If you are a group coordinator you have the following responsibilities during each quarter:

Before the first session of the quarter

  1. If the group is too small (under 5 members) try to find more members.
  2. Contact the group members (e.g., via the email address assigned to your group through the group selection web site) and find a day of the week and time that all group members are available.
  3. Enter the day of week and the time on the group web site (login -> choose correct quarter -> group membership -> modify group).
  4. Reserve a room either through Susan Hauser or through a faculty member or her/his administrative assistant.
  5. Enter the room on the group web site (login -> choose correct quarter -> group membership -> modify group).
  6. Have the person (administrative assistant or faculty member) who reserved the room send me an email to confirm the room and time.
  7. Identify one or several faculty members that will be mentors of the group.
  8. Enter the faculty member(s) on the group web site. (Send me an email if you want to add a faculty member that is not listed yet.)
  9. Have the faculty member send me an email confirming that they are willing to mentor the group.
  10. It is recommended to update the group description on the web site according to what the group members decide what they want to do.

Before each meeting of the group

  1. Print an attendance record sheet for your group (login -> choose correct quarter -> group membership -> sign-up sheet). Enter the session number on the sheet (the how manieth time in the quarter the meeting is).
  2. It is recommended that the group description be updated to reflect a short description of what the next session will be about in case somebody from a different group is interested in coming (login -> choose correct quarter -> group membership -> modify group). Note, that you can use any HTML command in the text, especially <A HREF="your_url_here">Text<A> in order to include links to other web pages of interest.

After each meeting of the group

  1. Sign the completed attendance record sheet.
  2. Send the completed attendance record sheet to Susan Hauser.

Group leader tasks

If you are a group leader you have the following responsibilities during each quarter:

Before the first session of the quarter

  1. Contact the other group members and decide on a mode of discussion (how many students present per week, are students chosen in advance or by rolling a die in class, ...)
  2. Contact the other group members and decide on a subject (going through a review article throughout the whole quarter, each student picking a different original paper to talk about, students talking about their own research projects,...)
  3. Make a timetable of who presents when if you choose to assign dates in your group.

After each meeting of the group

  1. Prepare feedback forms.
  2. It is strongly recommended that all group members are informed of any papers that are underlying the discussion by email well before the meeting.

After each meeting of the group

  1. Collect the feedback forms.
  2. Make copies of the feedback forms, send copy to Susan and give originals to speaker(s).
